Administrative Assistant

We are seeking a dynamic and organised individual to join our team as a Part-Time Administrative Assistant for Kairos Construction. The ideal candidate will play a crucial role in ensuring the smooth and efficient operation of our administrative processes. This position involves handling inquiries, managing invoicing, organising receipts, ordering stock and equipment, logistics bookings and assisting in the creation and maintenance of project timelines and folders.

Responsibilities:

Enquiry Management

  • Respond promptly and professionally to enquiries from clients, suppliers, and team members

  • Maintain a systematic approach to tracking and organising inquiries for timely follow-up

Invoicing

  • Generate and process invoices accurately and in a timely manner

  • Collaborate with the finance department and Group MD to ensure accurate and up-to-date invoicing records

  • Address client inquiries related to invoices and payments

Receipt Management

  • Organise and maintain a comprehensive system for managing receipts across the business

  • Coordinate with team members to collect and document expense receipts

  • Reconcile receipts with financial records to ensure accuracy

Project Timeline Support

  • Collaborate with the team to create and update project timelines

  • Assist in tracking project milestones, deadlines, and deliverables

  • Communicate with team members to gather information necessary for calendar management

General Administrative Tasks

  • Provide general administrative support, including filing, data entry, and document management

  • Coordinate meetings and appointments for team members

  • Assist in the preparation of reports and presentations

Qualifications:

  • Previous experience in administrative roles is preferred

  • Strong organisational skills and attention to detail

  • Excellent communication and interpersonal skills

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook). Ability to multitask and prioritise tasks effectively

  • Familiarity with construction industry processes is a plus

Package:

  • £812.50pm salary (based on £12.50ph)

  • 25 days Annual Leave p/a (will be Pro-Rata’d to Part Time equivalent)

Work Schedule: This is a part-time position based in our unit in Chivenor. Your core working hours would be 9.30am - 3.00pm with a 30min break, on Tuesday, Wednesday and Thursday. We are open to flexible working solutions.
